Closing the month

Lock a finished month so the figures can't change by mistake, and what to do if something was missed.

Closing a month locks it. Once it's closed, nothing can be recorded on or before it, so the figures for that month, and the reports and lender packs built on them, can't move by mistake. Only the owner can close or reopen months.

Close a month#

Go to Books, choose the month and close it. Only a month that has already ended can be closed, and closing a month closes every month before it too.

From then on, any sale, payment, expense, stock change or anything else dated on or before the end of that month is refused with a message saying the books are closed up to that date. Date pickers in the app don't offer closed days.

When to close#

Close each month after you've:

  • entered every sale, purchase, payment and expense for it,
  • checked your cash accounts against the real till, MoMo and bank,
  • looked at the profit and loss and found nothing odd.

Many shops close the previous month in the first week of the new one.

Something was missed#

You have two choices:

  1. Record it in the current month, with a note saying what it belongs to. This is the usual fix, and nothing is reopened.
  2. Reopen the month. Choose the month and reopen, and give a reason. It reopens that month and every month after it, so reopen the latest one that's needed, make your correction, then close again.

Every close and reopen is kept in a history (who, when, and the reason), so anyone looking at your books later can see it.
