Draft. This page is being reviewed and may change before TradeBroken launches. Questions? Contact us.
TradeBroken helps shops keep their stock, sales and money in one place, and helps buyers find what shops have in stock. This policy explains what personal information we collect, why, who sees it, and your rights. It applies to the TradeBroken website, the shop and relationship manager apps, the marketplace and the mobile app.
We follow Ghana's Data Protection Act, 2012 (Act 843).
Who we are#
TradeBroken ("we", "us") is operated by [Company legal name], [registered address], Ghana. For anything about your data, use our contact form and pick "Privacy and my data".
What we collect#
When you open a shop or join one:
- your name, email address and password (stored only as a secure hash),
- your mobile number, confirmed with a texted code,
- the shop's name, address, phone number and, if you give it, its location on a map,
- the role you have in the shop and which branches you work at.
What a shop records in TradeBroken: products, stock, prices, sales, purchases, payments, expenses, customers and suppliers, staff advances, stock counts and reports. The shop decides what goes in and is responsible for it; we keep it for them.
Relationship managers: name, contact details, region, the name on your Mobile Money account, the shops you look after, your earnings and payouts.
Payments: when you pay us by Mobile Money we receive the payment reference, amount, status and the number that paid. We never see your MoMo PIN.
Buyers on the marketplace: you don't need an account. If you use Near me, your location is used in your browser to sort results and is not sent to us.
When you contact us: your name, mobile number (confirmed with a code), email if you give it, and your message.
Technical information: your IP address and basic request details, to keep the service secure, stop abuse (for example limiting repeated login attempts) and fix problems.
Why we use it#
- To run the service you signed up for: your account, your shop's records, reports and certificates.
- To confirm it's really you: texted codes and secure sign-in.
- To take payments and keep billing records.
- To pay relationship managers what they've earned.
- To show a shop's in-stock items on the marketplace, if the shop chooses to.
- To answer your messages and give support.
- To keep TradeBroken secure and working, and to meet our legal obligations.
We don't sell your personal information, and we don't use it for advertising.
Who sees it#
- People in your shop, according to their role. The owner sees everything in the shop.
- Buyers see what a shop lists publicly on the marketplace: its name, branches, address, phone number (or a partly hidden number, if the shop chooses) and the items in stock with prices.
- A relationship manager sees a shop they set up or are booked by, as far as their task needs.
- Lenders and others you share a code with: a stock count certificate or lender pack only shows to someone you give its code to.
- Our service providers, only to do their part: SMS delivery, Mobile Money payment processing, hosting and email. They must keep it confidential.
- Authorities, when the law requires it.
Cookies#
The TradeBroken apps use one essential cookie to keep you signed in, and remember small choices like the branch you last used. This website doesn't use advertising or tracking cookies.
How long we keep it#
- Shop records: for as long as the shop uses TradeBroken, and afterwards as long as the law requires business records to be kept.
- Account details: until the account is closed, then as needed for legal and accounting reasons.
- Contact form messages: up to two years.
- Security logs: a short time, usually up to 90 days.
Your rights#
You can ask us to:
- tell you what personal information we hold about you and give you a copy,
- correct it if it's wrong,
- delete it, when we no longer need it or the law allows,
- stop using it for a particular purpose.
Send your request through the contact form. We'll confirm your identity with your phone number and answer within a reasonable time. You can also complain to Ghana's Data Protection Commission.
Keeping it safe#
Data travels encrypted, passwords are stored hashed, every account only reaches what its role allows, and important changes are logged. No system is perfectly secure; if something goes wrong that affects you, we'll tell you and the authorities as the law requires.
Children#
TradeBroken is for businesses and adults. We don't knowingly collect information from children.
Changes#
If we change this policy in a way that matters, we'll say so on this page and, for big changes, tell account holders. The date at the top shows the latest version.
