Cash accounts
The till, MoMo and bank accounts: opening balances, moving money, and reading the balances.
Cash accounts are the places your money sits: the till, a MoMo line, a bank account. Every payment goes into one of them, so you can always see how much is where, and it matches your books.
The accounts you already have#
Every branch starts with three accounts: Cash in shop, Mobile Money and Bank. Payments go to the one that matches the method (cash to the till, MoMo to Mobile Money) unless you pick another, so nothing needs setting up to get going.
Add your own#
Only the owner can add accounts. Go to Cash → New account and choose:
- a name, like "Second MoMo line" or "Business bank account",
- the kind: cash, MoMo or bank,
- which branch it belongs to, or leave it for the whole business,
- any details, like the number or bank.
At the till and when recording payments, you can then pick which account the money went into or came out of. A card or bank payment must go to a bank account.
Start with what's there#
When you begin, record what each account holds today: Cash, then Opening balance (owner only), once per account. Without it, your balances start at zero and won't match your real cash.
Moving money#
From Cash, record what happened:
| Movement | Use it for |
|---|---|
| Transfer | Money between your own accounts: banking the till, topping up MoMo. Nothing is earned or spent. Owner and branch manager. |
| Owner money | Choose owner put money in (their own money going into the business) or owner took money out (for themselves). Owner only. |
| Opening balance | What an account held when you started. Owner only. |
A wrong movement can be voided with a reason.
Reading the balances#
Cash shows each account's balance (owner and branch managers; staff can pick accounts but don't see balances). A balance can go below zero if more was recorded going out than coming in. TradeBroken never blocks a payment out, because records are often entered late, but it flags the negative so you can find the missing entry.
Who can use which account#
- Branch accounts are used by that branch.
- Business-wide accounts can be paid into by anyone, but paid out of only by the owner.
- An account must have a zero balance before you close it, and each branch's three starting accounts can be renamed but not closed.
